2. Personal Data We Collect
We collect only the personal data strictly necessary to process quote requests, evaluate the feasibility of aeromedical transfers (air ambulance coordination via allied operators or medical escort on commercial flights), and handle corporate partnership or agreement inquiries:
a) Identification and Contact Data (required for quotes)
- Full name of the requester.
- Requester profile or relationship to the case (family member or patient, clinic or hospital, insurer or assistance company, or other).
- Phone or WhatsApp number.
- Email address.
b) Transfer Operational Details (required for quotes)

- Brief reason for the transfer (optional).
c) Sensitive Health Data (optional during initial inquiry)

- Medical reports, discharge summaries, or other medical documents that the requester sends us by email when we request them to assess or schedule the transfer. The web form does not allow file attachments.
d) Technical and Consent Traceability Data
- Date and time the request was submitted and the Privacy Policy was accepted, the language of the form used (Spanish or English), and the version of the Privacy Policy accepted.
- Standard technical connection data (such as the IP address, which is also stored with the request, and browser metadata) required for website operation and web font rendering.
When a requester provides personal data or medical information belonging to a third party (the patient to be transferred), the requester represents and warrants that they hold the necessary authorization, legal representation, or legitimate authority to share such information for the sole purpose of requesting a quote and coordinating the medical transfer.
3. Purposes of Personal Data Processing
The personal data collected will be processed for the following specific, explicit, and lawful purposes:
- Case Assessment and Quotation: Evaluating the requested route and the patient’s clinical condition to determine the most suitable transfer modality and prepare a clear, structured quotation.
- Bed-to-Bed Medical and Logistical Coordination: Managing the end-to-end transfer operation alongside allied air operators (who own the aircraft and onboard medical equipment for air ambulance flights), commercial airlines (including processing the MEDIF medical clearance form for commercial medical escort services), ground ambulance providers at origin and destination, and the sending and receiving medical facilities.
- Corporate Case Management (B2B): Handling inquiries from insurers, assistance companies, and clinics interested in establishing partnerships, corporate agreements, or recurring case coordination, as well as managing operational documentation and corporate billing.
- Customer Support and Follow-Up: Communicating with the requester via phone, WhatsApp, or email to answer questions, request supplemental information required for flight clearance, and provide updates on coordination progress.
- Legal and Regulatory Compliance: Complying with applicable legal, administrative, or regulatory requirements issued by competent authorities in Peru or in the jurisdictions involved in the transfer route.
We do not use personal data or medical information for unauthorized marketing purposes, nor do we sell or rent personal data under any circumstances.
4. Mandatory Nature of Consent, Sensitive Data, and Withdrawal
The processing of your personal data is based on the free, prior, express, informed, and unambiguous consent you grant by checking the corresponding authorization boxes on our contact form.
- Contact and Route Data: Providing identification, contact, and route details is necessary to evaluate and respond to any quote request. If you choose not to provide this information or do not accept this Privacy Policy, we will be unable to process your request.
- Sensitive Health Data: In accordance with Peruvian Law No. 29733 and Supreme Decree No. 016-2024-JUS, processing health-related data requires express consent. Therefore, our web form does not request medical information. When health data or documents are needed to assess or schedule the transfer, we will request them by email and ask for your express authorization to process them solely for that purpose.
- Right to Withdraw Consent: You may withdraw your consent at any time, free of charge and without retroactive effect, by sending an email to operaciones@sintegraassist.com. Please note that withdrawing consent while a transfer coordination is actively underway may prevent us from completing arrangements with air operators, airlines, or medical facilities.
5. Recipients and Domestic & International Data Transfers
Due to the nature of domestic and international aeromedical transfers and our role as a coordination intermediary, personal data—and, where applicable, medical information strictly required for patient safety and flight clearance—may be shared or transferred domestically and internationally (cross-border data flow, depending on the origin and destination countries of the route or the location of service providers) to the following categories of recipients:
- Allied Air Operators: Air ambulance operating companies that own the aircraft, flight crews, and onboard medical equipment, for the purpose of assessing flight feasibility, quoting, and executing the transfer across domestic or international routes.
- Commercial Airlines: Medical departments and operational desks of commercial carriers to process and approve the MEDIF form, authorize portable oxygen, and coordinate boarding protocols for commercial medical escort services.
- Ground Ambulance Providers: Ground medical transport companies in the departure, layover, and arrival cities to complete bed-to-bed coordination.
- Healthcare Institutions (Clinics and Hospitals): Sending and receiving medical centers involved in the clinical handover and admission of the patient.
- Insurers and Assistance Companies: When the transfer is covered, audited, or managed through a patient’s insurance policy or international assistance provider.
- Technology Providers and Data Processors:
- Web Hosting and Corporate Email: Hostinger, with servers located in Brazil, for website hosting; and Microsoft 365 (Microsoft Corporation), with data stored in Peru, for corporate email and electronic communications.
- Web Form Management: Forminator, installed on our own website, used to receive form submissions. Submissions are stored in the website database (hosted by Hostinger) for 2 years and then deleted automatically. They are also sent by email to operaciones@sintegraassist.com through Microsoft 365, using the FluentSMTP plugin, which keeps a technical log of sent messages on our website for 14 days.
- Instant Messaging Platform (WhatsApp): Operated by WhatsApp LLC / Meta Platforms, Inc. (using international cloud infrastructure), when the user chooses to initiate a conversation via the WhatsApp links or buttons on our website. The WhatsApp links on our website only open a conversation with a generic message and do not send any form data.
- Web Fonts (Google Fonts): Provided by Google LLC (United States). When loading pages on our website, the user’s browser connects to Google servers to download the web fonts (Inter and Montserrat), which involves the technical transmission of the user’s IP address and standard browser metadata to Google.
6. Data Retention Period
Personal data and attached medical documents will be retained only for the time necessary to evaluate the inquiry, prepare the quotation, and—if the service is confirmed—execute and administratively close the transfer coordination.
Once the purpose for which the data was collected has been fulfilled, the information will be securely retained or blocked for a period of 2 years for quotes that do not proceed and 5 years for completed services, or for the statutory periods required under applicable Peruvian civil, tax, commercial, and healthcare regulations to address potential legal obligations or authority requests, after which it will be securely deleted.
Requests received through the web form are automatically deleted from the website 2 years after they are submitted.
7. Security Measures
At Sintegra Assist+, we implement reasonable and appropriate technical, organizational, and legal security measures aligned with the sensitivity of the data processed and in compliance with Law No. 29733 and its Regulation approved by Supreme Decree No. 016-2024-JUS. These measures are designed to safeguard the confidentiality, integrity, and availability of personal information and to prevent unauthorized access, alteration, loss, or improper processing. Access to clinical and documentary records is strictly restricted to authorized personnel involved in evaluating and coordinating the transfer.
8. Exercising ARCO Rights and Filing Complaints Before the ANPDP
As the data subject (or as a duly accredited legal representative), you have the right to exercise—free of charge—your rights of Access, Rectification, Cancellation, and Opposition (ARCO rights), as well as the rights to information, withdrawal of consent, and data portability recognized under Peruvian Law No. 29733 and Supreme Decree No. 016-2024-JUS.
To exercise any of these rights, please send a request to operaciones@sintegraassist.com with the subject line “Exercise of Personal Data Protection Rights”, including:
- Full name of the data subject and a copy or image of their valid identity document (DNI, Foreigner ID Card, or Passport).
- If acting through a legal representative, documentation accrediting such representation along with the representative’s identity document.
- A clear and specific description of the right you wish to exercise and the relevant data involved.
- An email address to receive our formal response, along with any supporting documents relevant to your request.
We will respond to your request within the statutory timeframes established by the Regulation of the Personal Data Protection Law (Supreme Decree No. 016-2024-JUS).
If you believe your request has not been properly addressed within the legal timeframe, you have the right to file a claim or protection proceeding before the National Authority for Personal Data Protection (ANPDP) of the Peruvian Ministry of Justice and Human Rights (www.gob.pe/minjus).

Sintegra Assist+ reserves the right to update or modify this Privacy Policy at any time to reflect legislative or regulatory developments or changes in our coordination workflows. Any updates will be published on this page, indicating the policy version and the date of the latest revision at the top of the document.
